This policy is a working draft describing our current data practices in plain language. It has not yet been reviewed by an attorney and should not be treated as final legal advice.
CrewWorx (“CrewWorx,” “we,” “us”) provides software that home service businesses (“businesses,” “you”) use to manage their own leads, quotes, jobs, invoices, and payments. This policy covers two groups of people: the businesses that sign up for CrewWorx, and the end customers of those businesses whose information a business enters into CrewWorx (for example, a homeowner who requests a quote). CrewWorx is a business-to-business product — end customers do not create their own CrewWorx account or log in; they interact with a business through links CrewWorx generates on that business’s behalf (a quote, an invoice, a client portal).
Business account information. When a business signs up for CrewWorx, we collect the business’s own account information: name, email, phone, business address, service area, hours, time zone, and billing details (processed by our payment provider, Stripe — we don’t store full card numbers ourselves). Staff members a business invites to their account provide their own name and email.
End-customer information entered by a business. When a business uses CrewWorx to manage its own customers, it enters those customers’ information into the platform — name, phone number, email, service address, and notes about the job or service requested. This information is entered by the business itself, either from a lead-capture form or booking widget on the business’s own website, or manually by business staff after speaking with the customer directly (for example, over the phone or in person). CrewWorx does not independently collect or purchase contact information from any other source.
Job, quote, and invoice data. Service details, pricing, quote line items, invoice amounts, and payment status connected to a business’s jobs.
Messages. The content of text messages and emails sent through CrewWorx between a business and its customers, so that conversation history is available to the business and can be shown in CrewWorx’s interface.
Photos and documents. A business (or its field staff, including through our mobile app) can upload before/after job photos, a company logo, and documents such as a liability waiver. These are stored in our cloud file storage provider and linked to the relevant job, contact, or business account. A file’s link is only shared with people the business chooses to share it with (for example, on a quote or invoice sent to a specific customer) — we do not publish or index uploaded files, and access to view or manage them within CrewWorx itself is restricted to that business’s own account.
Time tracking. If a business uses CrewWorx’s clock-in/clock-out feature, we record the start and end time an employee logs against a specific job.
Website and email engagement. If a business uses CrewWorx’s lead-capture widget or client portal on their own website, we record basic visit information (page viewed, referring page, and general browser information) tied to that business’s own site, so the business can see how their site is performing. We also record whether a business’s outbound emails sent through CrewWorx were opened or a link inside was clicked, which can include the recipient’s general IP address and browser information at the time of that action.
Mobile app. Our mobile app requests camera access only when a field technician chooses to take a before/after job photo. We do not access your device’s photo library, location, or contacts unless you take an action that requires it. We do not currently use push notifications.
Customer information entered into CrewWorx by a business is used to deliver the service that business requested — sending quotes, invoices, appointment reminders, job status updates, and related follow-up messages by email or text message, and processing payments the customer chooses to make to that business. These messages are sent by the business, using CrewWorx as the platform, to the business’s own customers about their own service.
CrewWorx may offer optional AI-assisted features (for example, helping a business draft a follow-up message) that a business can choose to enable for their account. If enabled, relevant business and customer information may be sent to our AI provider to generate that content. As of this policy’s last update, this capability exists in the product but is not the default and is not actively used to generate messages for any business unless that business specifically turns it on.
We do not sell contact information — a business’s own or its customers’ — to third parties, we do not use it for our own marketing, and we do not share it across unrelated businesses on the platform. Each business’s data is logically separated within CrewWorx and access to it is restricted to that business’s own account and staff.
Text messages sent through CrewWorx are transactional messages related to a specific service — for example, a quote follow-up, a job reminder, or a request for a review after a completed job. They are triggered automatically by real events in the business’s account (a quote being sent, a job being scheduled or completed), not sent as bulk marketing.
How you consent to receive text messages: end-users provide their phone number to the business they’re contacting — for example, verbally during a phone call or in-person conversation, or by submitting it through that business’s own lead-capture form or website. A staff member at that business then enters (or the form submits) the phone number into the CrewWorx platform on the customer’s behalf. By providing your phone number to the business, you consent to receive transactional text messages related to your service, including quote follow-ups, appointment reminders, job status updates, and invoice notifications. It is the business’s responsibility, not CrewWorx’s, to have a legitimate basis for texting a given phone number.
Message frequency varies by business and depends on the services that business is using at the time — typically a small number of messages tied to a specific quote, job, or appointment, not an ongoing subscription. Message and data rates may apply. A recipient can opt out of future text messages at any time by replying STOP, and can resubscribe at any time by replying START, or by contacting the business directly. Opt-out requests are honored by our text messaging provider at the phone-number level.
We do not share mobile phone numbers with third parties or affiliates for their own marketing purposes.
CrewWorx relies on established providers to operate. Each processes data only as needed to perform its specific function, under its own privacy and security practices:
Our application (app.crewworx.io) and admin tools use only the cookies necessary to keep you signed in, set by our authentication provider, Clerk. We do not use these cookies for advertising or cross-site tracking.
Our public marketing website (crewworx.io) uses a cookie-free page analytics tool to understand overall traffic to the site. We do not use third-party advertising cookies or pixels.
Production customer data is hosted with our database provider in the United States. We do not currently offer region-specific hosting, and CrewWorx is designed and offered for use by businesses operating in the United States.
CrewWorx is a business tool and is not directed at or knowingly used by children. We do not knowingly collect information from anyone under 13 years old. If you believe a child has provided us information, contact us using the details below and we will remove it.
Business accounts and their associated customer data are retained for as long as the account is active. A business can delete individual customer records directly within CrewWorx at any time, which also removes that customer’s associated jobs, quotes, invoices, messages, and files. To request deletion of an entire account and its data, contact us at the email below.
If you are an end customer of a CrewWorx business and want your information removed, please contact that business directly — they control their own customer data. If you’re unable to reach them, contact us and we’ll assist.
You can ask the business you interacted with to correct or delete your information, or to stop contacting you (see the Text Messages section above for SMS-specific opt-out). Depending on where you live, you may have additional rights over your personal information, such as the right to request a copy of it or object to certain uses. Contact the business directly for these requests, since they control the data; contact us if you need help identifying the right business to reach.
We may update this policy as CrewWorx evolves. We’ll post the updated version here with a new “last updated” date.
